The 5-step onboarding flow

  1. Create the session. You generate a unique onboarding link for the new contractor. The link loads a branded portal with their name pre-filled.
  2. Collect tax documents. Contractor uploads W-9 (or W-4 if W-2) and any state tax forms. Engage validates format and flags missing fields.
  3. Sign agreements. MSA, SOW, NDA, and offer letter load with variables pre-filled. Contractor signs through the signing portal; Engage logs the completion.
  4. Verify identity and banking. I-9 (for W-2 hires), direct deposit setup, and any background check authorization.
  5. Unlock the engagement. When every required step is complete, the engagement status flips to active and time / expense / invoicing become available.

Why onboarding failures are the hidden tax on contractor programs

The most common reason a contractor engagement goes sideways at tax time is that some paperwork was never completed — a W-9 that was "promised by email," an SOW that someone planned to get signed later.
